How to fill it in

  1. Add your business details. Enter your trading name, address and contact email at the top. If you are VAT registered, include your VAT registration number.
  2. Set an invoice number. Use a simple sequential system such as INV-001, INV-002. Never repeat a number — HMRC requires unique invoice references.
  3. Enter the dates. Add the invoice date and calculate the payment due date based on your terms (for example, 14 or 30 days).
  4. List your work. Describe each product or service on its own line, with quantity, unit price and line total.
  5. Add totals and VAT. The template calculates the subtotal automatically. If you are VAT registered, apply the correct VAT rate (usually 20%) and show it as a separate line.
  6. Add payment details and send. Include your bank details and payment terms, save as a PDF, and email it to your client.

Sole trader invoice vs VAT invoice: what's the difference?

If you are not VAT registered (which applies to many sole traders and small businesses under the VAT threshold), you send a standard invoice. You should not charge VAT or show a VAT line, and you must not display a VAT registration number you do not have. If you are VAT registered, you must issue a VAT invoice that additionally includes your VAT registration number, the VAT rate applied to each item, the VAT amount charged, and the total amount payable including VAT.
